Upcoming VDX Review

Hello all!

With the implementation of Aspen, we have been testing how to integrate
ILL information into patron's profiles on the website. Thanks to the
collaboration between our own Katie Rahman and Bywater Solutions, they have
been able to put that information directly into patron profiles on the new
website. However, since much of the information is being pulled from VDX,
we need to start cleaning up our ILL workflow throughout the state so that
our patrons can receive accurate information.

At the moment, the most pressing issue is that past ILL requests (that have
been returned) are still being shown in patron profiles. After some
testing, we have determined that this is because some libraries have not
been marking returned items as "Checked In" in VDX when they receive them.

At your earliest convenience, please check your VDX account and find out
how many items are in your "Returned" and "Recalled" categories in the
Lender column. The only items that should be listed in these tabs are
items that are currently in-transit as they are being returned to the
library. If they have been received, please mark them as "Checked In" using
the dropdown at the top of the page.

Please review your accounts as soon as possible. Even if you are not going
live with Aspen at this time, this affects all libraries that use VDX in
our consortia, including those that are implementing Aspen. In order to
provide Wyoming patrons with the best experience possible, we need to keep
this information updated. A review of WYLD Network libraries' VDX accounts
will be performed at the beginning of December, so please complete your own
review by Nov. 30.

If you have not been using the "Check In" button previously, please
implement this step into your workflow for all items that are returned in
good condition. If you have any questions or concerns as you review your
process, please feel free to reach out! We can provide trainings, reviews,
or update instructional documents as needed. Just let us know what we can
do to help!
